ArtWaves Program Coordinator (independent contractor)


Dates: April - September 2021 

Total hours: 250

ArtWaves seeks a Program Coordinator to provide office assistance and help develop, plan, and coordinate their Summer and Fall 2021 sessions. The Program Coordinator will need to work a portion of their hours on the ArtWaves campus, but some hours may be worked remotely if preferred. Hours are flexible but need to be scheduled in advance. There is a possibility this position could become permanent and extend beyond September. 


Office Administration

  • Manages general ArtWaves email accounts. Reviews, forwards, responds, or takes other action as appropriate 

  • Manages and updates website and Donor Software Database (currently Wild Apricot)

  • Produces class schedules and other reports as required

  • Manages and updates calendars

  • Conducts miscellaneous research for special projects or assignments

  • Creates and edits letters, documents, presentations, as appropriate and required

  • Manages and maintains documents, including scanning and file creation and maintenance

  • Creates/modifies forms as appropriate and required

  • Answers phones as appropriate during work hours

  • Orders office supplies

  • Follows public health and safety protocols for reducing the spread of Covid-19, along with enforcing such protocols on campus

  • Maintains an orderly facility

Session Coordination

  • Serves as contact for all prospective, new, and current instructors

    • Gathers instructor contact information and updates Wild Apricot (WA)

    • Responds to all instructor email and phone correspondence

  • Serves as contact for all ArtWaves students/participants

    • Answers questions about programming via email and phone

    • Assists participants with registration and payment for programs

    • Confirms participant payment with bookkeeper

  • Create and execute Zoom orientation sessions for instructors

  • Provide Zoom technical assistance as needed, utilizing volunteers or interns

  • Participate in weekly check-ins, planning sessions, and other meetings as appropriate


  • Assists in producing all publicity materials, print and digital

    • Drafts general communication pieces for press releases, e-blasts, and other outreach endeavors

    • Posts to Facebook and Instagram

    • Shares with chambers, local papers, and school systems

    • Submit classes to MDIslander for newspaper’s events calendar

    • Posts printed materials 

Required competencies and qualifications:

  • Skilled in use of MS Word, Excel, Google Docs, and Sheets 

  • Ability and desire to master innovative technology solutions

  • independent, self-managed professional with the ability to work effectively as a member of a diverse team 

  • Organized and detail-oriented

  • High need for task closure with the demonstrated ability for follow-through

  • Excellent communicator, including speaking, writing and editing

  • Flexible, energetic, positive contributor to overall organizational goals and objectives
